Tasks overview

Use tasks to streamline the product enrichment process

You must be given explicit permission to view/manage tasks.
Managed roles having access: System admin, PIM admin and PIM write.


  

Overview

The product enrichment process can be made more efficient by utilizing tasks. Tasks can be assigned to specific users or user groups. 

Select Tasks from the main navigation bar to create and manage tasks within your organization.

The page is divided into 3 main parts; the Filters panel to the left, the Tasks grid, and when a task is selected, the Details panel to the right:

A task is either public or private. Public tasks are visible to all users having access to the module. Tasks assigned to a user group are always public.

Which private tasks are visible depends on your role. You can always view and act upon tasks assigned to you. In addition, you might have access to view and edit tasks assigned to others.

Tasks filters

When working with a large number of tasks, using Filters is an efficient way of finding the task(s) you are looking for.

Do the following:

  1. If you know (parts of the) task name, type two or more characters in the Title search field.
  2. Optionally add one/more criteria by selecting relevant options for:
  • Assigned to
  • Created by
  • Importance
  • Status
  • Visibility

Filters are applied immediately, thus only tasks matching the criteria are presented in the grid. The applied filters are presented above the grid:

When one/more filter criteria are applied, you can click View all above the grid to expand the section to view the filtering details. When expanded, click Show less to collapse the section.

Click Clear all to remove the currently applied filters.

Tasks grid

When opening the Tasks module, the tasks matching the current filter criteria are presented in the grid. By default, unresolved tasks are presented.

Change sorting

The tasks can be sorted ascending/descending by Name or Due date by clicking the relevant column header.

Change task importance

You can change a task's importance directly from the grid by clicking the star icon.

Change task status

You can change a task's status directly from the grid by clicking the arrow button and selecting the relevant status.
 

Task details panel

Click a task from the grid to open its details panel. See the following sections for information about each tab.

Details tab

Contains the main information about the task, like Name, Due date and Description.

Products tab

Presents any products linked to this task. These can be regarded as sub-tasks:

Comments tab

Comments can be added and replied to in this tab. Any existing comments are presented.

Reminders tab

Any currently set reminders are presented in this tab. If you have task reminders activated in general, these are automatically added to the task.

Tip! If you have access, you can configure when and how to receive notifications from Settings | Notifications.
